Why we built this
After the first year of Billify, we kept hearing the same thing from two groups outside our SME core.
NGO treasurers told us the same story over and over: "The tools we use don't understand restricted funds. We track grants on a separate spreadsheet, and our annual report to ROS is a manual rebuild every year."
Co-operative setiausaha said something similar: "We bill members every month, distribute surplus once a year, and submit accounts to SKM in a format no off-the-shelf software produces. So we use Excel."
Both groups are large — over 14,000 ROS-registered NGOs and a similar number of SKM-registered co-operatives in Malaysia. Most of them are running on spreadsheets, manual receipts, and goodwill.
We rebuilt Billify around the idea that the same accounting engine can serve all three — as long as the surface adapts to the work.
Billify for NGOs
Pick NGO during signup and Billify reshapes itself around how a non-profit actually operates.
Donation Receipts. Numbered receipts with your ROS and S.44(6) details printed automatically — valid for your donors' tax filing, every time. Re-send, archive, and download anytime. No spreadsheets to maintain.
Funds & Programmes. Track restricted and unrestricted funds separately — Operations Fund, Zakat Fund, project funds — and allocate every donation and expense to the right pot. Restricted funds stay restricted; you can't accidentally spend a programme grant on overhead.
Donor Management. A clean donor list with giving history, contact details, and tags. Send thank-you receipts, track lifetime contributions, and recognise major supporters without digging through a spreadsheet.
Online Donations. Accept FPX and online banking donations through your Billify storefront. Receipts are issued and recorded the moment a donation clears.
Transparent Reports. Funds Received vs Programme Expenses, surplus by programme, donor breakdown — the reports your AGM, committee, and auditors actually ask for, ready in one click.
Plus the things every NGO committee asks for once they've been audited a couple of times: role-based access for committee, treasurer and bookkeeper; a full audit trail on every transaction; supporting documents attached to entries; and the whole interface switchable between Bahasa Malaysia and English with one click.
Billify for Co-operatives
Pick Co-operative during signup and you get a different set of defaults — the ones an SKM-registered koperasi actually needs.
Member Management. A structured member directory with contact details, member numbers, and tags. Bill members directly, track outstanding payments, and see who is due what at a glance.
Bills & Recurring Charges. Issue branded bills for member fees, services, and products. Set up recurring charges for monthly contributions and let Billify chase late payments automatically. First member bill out the door in five minutes.
Online Payments. Members pay online via FPX or banking. No more chasing cheques or matching bank-in slips by hand. Payments reconcile to the right member, automatically.
AGM-Ready Reports. Income, expenses, surplus, balance sheet — all in clean, exportable formats. Show your members and SKM exactly where the co-operative stands, without hand-crafting a single spreadsheet the night before AGM.
Underneath, you get the things SKM and your auditor expect: SKM number and registration details as first-class fields printed on every document, full double-entry bookkeeping running quietly under the hood, mobile receipt capture for expenses, committee access controls with a complete audit log, and a one-click toggle between BM and English for documents and the interface.
What stays the same
Existing SME customers don't need to do anything. Your account, your data, your pricing — all unchanged. The new segment-awareness lives in the onboarding flow for new signups and as a separate-organisation option for existing accounts.
If you already run an SME in Billify and you're also on the committee of an NGO or koperasi, you can spin up a separate organisation under the new segment without leaving your existing books. Two completely separate sets of books, one login.
What it costs
Both NGO and Co-operative modes start on a free plan — no credit card, no time limit, just sensible caps so very small organisations can run on Billify forever without paying us a cent. Paid plans unlock unlimited members or donors, advanced reports, and the audit-ready report packs.
We've priced the paid tiers below what we charge SMEs, deliberately. Both segments tend to operate on tighter budgets, and we'd rather more organisations have the right tools than charge what the market would bear.
